Independent Bookkeeper – Payroll, Invoicing & Finance Operations
About the Role
We are a growing remote staffing company serving U.S.-based healthcare practices. We are looking for an experienced, independent bookkeeper to oversee our day-to-day finance operations, payroll coordination, invoicing, collections, tax coordination, and related financial processes.
This is not a basic data-entry bookkeeping role. We need someone who can independently own financial processes, stay ahead of deadlines, identify issues before they become problems, and coordinate effectively with our HR, operations, clients, and external accountant.
The ideal candidate is highly organized, detail-oriented, proactive, and comfortable taking ownership of finance-related workflows.
Key Responsibilities:
Payroll & Staff Hours:
Review and approve payroll before processing.
Monitor staffer hours against approved/contracted limits.
Review time tracking and flag discrepancies or potential overages.
Coordinate with HR Admin to ensure approved time-off is accurately reflected in payroll.
Ensure payroll is released accurately and on schedule.
Invoicing & Accounts Receivable:
Review, approve, and send monthly client invoices.
Monitor outstanding invoices and follow up with clients regarding late payments.
Coordinate internally when payment issues require pausing or adjusting a staffer's services.
Maintain accurate records of invoices, payments, and outstanding balances.
Client Finance Support:
Serve as the finance point of contact for clients when financial questions arise.
Coordinate with the appropriate internal team members to resolve finance-related questions.
Communicate professionally and clearly with U.S.-based clients.
Finance Operations:
Oversee finance processes and ensure all financial deadlines are met.
Maintain organized and accurate financial records.
Identify gaps, discrepancies, or upcoming deadlines and proactively address them.
Coordinate with HR, operations, and other team members on finance-related processes.
Taxes & Accountant Coordination:
Coordinate with our accountant regarding tax filings and financial reporting.
Ensure the accountant has accurate and complete figures on time.
Follow up on tax-related deadlines and filings to ensure nothing is missed.
Help maintain the documentation and records required for tax compliance.
Required Qualifications:
Proven experience as a bookkeeper, senior bookkeeper, finance coordinator, or similar role.
Strong experience with payroll, invoicing, accounts receivable, collections, and financial operations.
Experience working with U.S.-based businesses and/or U.S. clients.
Strong attention to detail and excellent organizational skills.
Ability to independently manage deadlines and follow through without constant supervision.
Strong written and verbal English communication.
Comfortable communicating directly with clients when finance-related questions arise.
Ability to identify discrepancies and proactively escalate issues.
Experience coordinating with external accountants or tax professionals.
Strong Excel/Google Sheets skills.
Experience with accounting software such as QuickBooks Online is strongly preferred.
** Insurance Requirements
- Because this role will involve access to financial information and potentially sensitive client financial processes, candidates must be able to provide the following insurance documentation:
- Professional Liability / Errors & Omissions (E&O) Certificate
- Third-Party Fidelity / Commercial Crime Certificate with a coverage limit that matches the amount of client/company funds or financial access associated with the role.
- Written confirmation that the policy provides coverage for dishonest acts against clients, rather than coverage limited only to claims involving the contractor's own business.
Important: Our insurance broker will review and approve the certificates before the selected contractor begins work.
Rate: $13/hour - $16/hr
